Resolve Printer Issues on your Mac

Follow these steps if you can’t get your printer to work with your Mac.

These steps might help you to resolve printing issues such as these:
  • Your printer doesn’t appear in the Printer pop-up menu of Print Dialog.
  • Your printer doesn’t appear in Printers & Scanners preferences.
  • Your Mac displays a message that software for your device isn’t available.

If your Mac doesn’t see your printer or have the software for it

  1. Make sure that your printer is turned on and ready. For help with an error light or other error condition that appears on the printer itself, check the device’s documentation or contact the manufacturer.
  2. If your printer is connected to the USB port of your Mac, disconnect it.
  3. Check for software updates to make sure that your Mac has the latest information about your printer.
Your Mac downloads software for most printers automatically, so it’s usually unnecessary to install software from the printer manufacturer.
  4. If you disconnected your printer from the USB port in step 2, reconnect it now.
  5. From the Finder, choose Apple menu  > System Preferences, then click Printers & Scanners.
  6. Select your printer in the list of devices. You might need to wait a moment for it to appear.

If your printer doesn’t appear in Printers & Scanners preferences, click Add (+) at the bottom of the list, then choose the command to add a printer or scanner. The window that opens offers more ways to find your device:

If your Mac has some other issue with your printer or scanner

These steps might resolve printing issues that have no other clear cause.

  1. Choose Apple menu  > System Preferences, then click Printers & Scanners.
  2. Select your printer or scanner in the list of devices, then click Delete (–) to remove it from the list.
  3. Follow the steps in the previous section to add your printer again.
  4. If the issue persists, Control-click anywhere in the list of devices in Printers & Scanners preferences. Then choose “Reset printing system” from the shortcut menu that appears.
Resetting the printing system causes all printers and scanners—including their queues, jobs, and custom settings—to be removed from Printers & Scanners preferences.
  5. Follow the steps in the previous section to add your device again.

If the issue remains unresolved, take these final steps to remove any currently installed printer drivers that could be causing the issue:11111

  4. The Printers folder opens. Choose Edit > Select All to select all items in the folder.
  5. Choose File > New Folder with Selection to put all of the selected items into a new folder named New Folder With Items.
To save storage space, you can delete the New Folder With Items folder after completing the remaining steps.
  6. Follow the steps in the previous section once more.

Common Laser Printer Mechanical Problems and Solutions

Mechanical Problems

Mechanical problems, such as misdeeds and paper jams, are normally caused by the media being used in a printer rather then the printer mechanism. The following are typical problems.

imageservletjsessionid23d15d33aee1d46e134544f91a97f236-tomcat6-c9t14306
Misdeeds:
If a misdeed occurs, remove the paper from the paper feeder, and fan the paper so that sheets are not sticking together. Reload the paper ensuring that the curl is loaded as specified by the printer manufacturer.

Paper Jams:
If a paper jam occurs, carefully follow the procedures in the laser printer user guide to remove the jammed paper. Pay particular attention to instructions which require the paper to be removed in a specific direction, as the paper may have loose toner on it which has not been fused and which may contaminate the printer mechanism. Paper may also be jammed between paper feed rollers or in the fuser rollers, attempting to pull paper in the wrong direction through these rollers will probably tear the paper

Lost Characters  :
If characters are occasionally missing from the text there is probably a communications error.

Check that the cable connecting the printer to the computer is correctly plugged in. Check the communications settings on the printer and the computer, ensuring that they match. Try using another communications cable. If a serial connection is being used, try setting the serial baud rate to a lower speed.

Split Text :
If text is split over two pages there is probably a configuration error in the software application sending the text. Check the software application setup to ensure that the page length and margins are correctly set.

Split text is very rarely caused by the printer, but it may occur if a page contains a very large number of characters and there is insufficient memory in the printer to cope. For instance a complete page of 6 point text contains many more characters than a page of 10 or 12 point text, and may exceed the capabilities of some printers.

Why does the message ‘Replace Toner’ or ‘Toner Low’ continue to appear on the display after I replaced the toner cartridge?

Brother strongly recommends that customers use only genuine Brother drum units and/or toner cartridges. Each Brother laser printer is designed to work at pre-set temperatures that are matched exactly to each of our individual toner formulations.  Each individual component is designed to work with the other to ensure quality and reliability. Using non-Brother supplies may affect the hardware performance, print quality and machine reliability. The Brother limited warranty does not apply to any problem that is caused by the use of third party drum units, toner cartridges or toner.

  1. Did you replace the toner cartridge with a NEW, out of the box, genuine Brother toner cartridge (TN620/TN650)?

NOTE: If a toner cartridge from another machine was installed (even if there’s still toner left in the used cartridge), the message ‘Replace Toner’ would continue to appear on the display. To clear the message a new, genuine Brother toner must be installed.Image

  1. Open the front cover and remove the drum and toner assembly.

NOTE: We recommend placing the toner and drum assembly on a piece of paper in case of accidental spill or scatter toner.

  1. Remove the gray toner cartridge from the black drum by holding down the blue lock lever on the right side of the drum unit and lifting the toner cartridge out.Image

  1. Gently rock the toner cartridge from side to side.Image
